Context
This epic covers functionality included in Section 2: Application and Onboarding for hosts from HUU Major Flows Figma. User stories will be attached to this epic as issues.

Overview

• Review all current + past issues; identify missing issues - in progress
• Create host user story, if missing within section 2

Problem Alignment

Context:

This epic covers functionality included in Section 2: Intake Profile and Onboarding for hosts from the HUU Major Flows Figma. User stories will be attached to this epic as Issues.

The Problem:

Hosts do not know how to provide extra room for the needy and they need a way to provide information about their space along with the ability to track and complete their application via an online mechanism.

User scenarios:

Host:

• As a Host, I want to know what steps are needed to complete the HUU program at a high level so I can understand the process and plan as needed.
• As a Host, I want to know the documents that are needed for the application so that I can be prepared and make decisions accordingly
• As a Host, I want to complete the onboarding application using the HUU platform so that the HUU Coordinator can review it.
• As a Host, I want to be able to track the status of my application and any required meetings so that I can move onto the matching process.
• As a Host, I want to be able to see my Co-ordinator's name and contact information so that I can communicate with them.

High-Level Approach:

Status page that shows high-level steps, progress, and status of host application + right sidebar that shows action items, upcoming events and Coordinator information

Solution Alignment

• Host is able to view a status bar as a percentage of whole flow
• Host is able to see the high level steps needed in the HUU onboarding/matching process in one glance on the status page
• Host is able to see which of the high level steps are in progress, complete, and not started
• Host is able to see the average time it takes for each step (Open to discussion)

Considerations:

• Host and Guest is matched only with 1 co-ordinator for easy communication
• When Host and Guest are matched they can have different coordinators but one of the co-ordinator will take both of them via the matching process. At this time the co-ordinator associated with the guest or host will be reassigned.

For future phases:

• Solution needs to be scalable to multiple organizations
• Relationship Management for the tenure of the contract

Goals & Success:

Success is if the host can complete the profile including the application, interview, training, and orientation, and is able to view his progress through the status page

Metrics to measure success: (This would vary based on the data we collect)

• The average number of days taken by hosts to complete the application - This will inform us about the ease of use of our application form.
• Number of pre-matching completed/number of host applications - This will inform us about the number of people completing the interviews, training, and orientation

Key Features:

Home/Status Page
Application tracker bar - It will show the progress through the application
Action items - It will show what is the next step for the host
Upcoming events - This shows any upcoming interviews, visits, etc.
Calendar - It will be used to schedule interviews and track upcoming dates

Key Decisions:

• The application will be responsive and supported on desktop, tablet, and mobile.
• Listing page shows the applicant's name, status and noted by the coordinator
• Account creation invitation links will expire after 2 weeks. Coordinator is able to resend the link any number of times
• Dashboard/Overview should show the status of all applications sorted in ascending or descending order. Filter can be done for today, this week, this month, this year or custom range,
• To start, admin functionality can be limited to essential user provisioning for the HUU internal team
• In the future, it should be possible to provision external users as admins as needed
• Delete account functionality is needed in case there are duplicate applications.
