IRC call suggestions

Based on the feedback: http://reynard.io/2017/01/18/MirageIRCFeedback.html here's a list of suggestions for discussion:

• Post the agenda online (wiki and mirage.io?)

  • Can we reliably get the agenda up/started 2-3 days prior to call? Friday before/Monday before?
  • I will tweet from @openmirage when the agenda goes up, and on the day of the meeting

• Publicise calls to the wider community

  • Currently Twitter, mailing list and OCL Slack
  • Should add to mirage.io somewhere (Add fortnightly catchup details on mirage.io homepage/sidebar #498)

• Call summaries alongside IRC logs

  • @yomimono has started this off by asking for volunteers.
  • Meetbot might be useful (already been suggested by @hannesm), tips here: https://wiki.opnfv.org/display/meetings/Meetbot+Tips - someone still needs to create minutes.

• Set up a calendar invite for each call to encourage attendance

• More structured agenda - with additional background information for topics, and prioritisation of burning issues that require discussion/decision

  • Thoughts? Are there recurring items that should be added to the agenda each week that we have missed recently? If we have categories that are always on the agenda, others might feel it's easier to contribute/ask questions
  • Add more details of topics of discussion for participants to read before the call - linked from agenda

• Ensure we move and follow up other discussion items regularly on the mailing list

• Check documentation and tutorials for newcomers - are they up to date/useful/easy to find etc

Many thanks for this @GemmaG! I am also working with @Engil to fix the IRC Logs page and Canopy, as @hannesm has made improvements to Canopy master that are not live deployed yet.

For volunteers interested in the IRC log summaries, you just need to grab one from https://github.com/mirage/canopy-data and send a PR with your changes. No format for the summaries has been agreed so its up to you how you present it :)

To add more structure to the agenda, we'll need to impose a cutoff time for submissions -- for example, today roughly half of the agenda items were submitted within 10 minutes of when the call began, which is really not enough time for anyone to read (let alone write) detailed background materials.

I have a standing appointment on every other Monday afternoon to send the reminder e-mail to mirageos-devel (which I missed by a day this week!). I try to set at least one agenda item for the meeting on the wiki page when I do this, so there's an entry people can see and add to. I'll move that appointment to the Friday before as suggested above.

There is now a refreshed http://canopy.mirage.io with the latest IRC logs. I am working on renovating the website today to make contributions to it easier.
