The event will take place in a single room with a single track. The notional schedule at this time is for contributed talks during the morning session and for invited talks, panels, and open discussion during the afternoon sessions. The exact schedule and agenda will be finalized based on contributed abstracts and in consultation with the Science Organizing Committee (SOC).

There will be room in the schedule for 30-40 contributed talks (of 8-10 minute duration), and physical space to display ~30-50 posters (~48"x48") continuously. When you submit an abstract, you will be given the opportunity to request a talk, poster, either, or neither (i.e. abstract only). After abstract submission closes, the SOC will review all abstracts for compliance with the scope of the workshop, and triage talk and poster requests.

The budget for this event is being entirely bootstrapped by registration fees. If we receive 50 paid registrations by January 31, then we will be able to cover baseline costs for the event. If we do not receive enough paid registrations by January 31, then we will cancel the event and all registration fees will be refunded. Total registration for the event is capped at 275 participants.

Baseline costs include, but are not limited to, venue and equipment rentals, insurance, coffee / tea service, materials and supplies (e.g. badges), and professional services (e.g. legal, event support). Registrations beyond the first 50 will allow us to provide an increasing level of conference support and services (e.g. breakfast or lunch catering, child care, travel grants, better coffee). Any funds remaining after expenses are covered will be donated to OpenPlanetary.

The Kentucky Science Center is located in downtown Louisville KY. If flying, we recommend flying into the Muhammad Ali International Airport (SDF); other major airports in Cincinnati, Indianapolis, and Nashville are all several hours drive away with no train service. There are many excellent hotels within easy walking distance of the venue. We plan to work with local hotels and the tourism board to get more specific hotel recommendations by the end of January.

The venue is handicap accessible and has a lot of power outlets and (probably) sufficient wifi capacity. We guarantee that there will be coffee / tea / water service. If the budget supports it (i.e. if enough people register), then we might be able to include breakfast and lunch catering; this will be determined by mid-March. We are looking into options for childcare. Please specify dietary restrictions or interest in childcare services in the registration form or contact the organizers if your situation changes.
